The process of assessment of the works carried out through a compatible electronic device and allotment of points for the job done is generally referred to as the electronic auditing. But a more precise terminology for the above process may be defined as the total summary of the works done, its logical analysis and the appraising of the same plus generation of a detailed work completion and assessment report for the approval of the concerned, namely the cleaning company or the contractors, and the building owners.
The apprising of the works done is done in a sequence that once again depends on the expanse of the site, areas of cleaning like the lobby, rooms, washrooms, other specified floor areas, windows, doors, window-sills, staircase, railings, front entrance, other entrances, and so on. This apart the nature of cleaning also plays a role in this like the extraction of free dust and other dry litter, wet cleaning or mopping, drainage cleaning, dustbins emptying, and proper cleaning of toilets, descaling of residues in the washroom basins, and so on. The main reasons for cleaning the floor and its requirements are to prevent injuries due to tripping or slipping.
Injuries due to slips and trips on level floors are a major cause of accidental injury. Since improper floor cleaning is a major cause of accidents the supervisor must take into account certain factors before assessment like stains, dirt, litter and obstructions whether they have been properly swept or not if done to what extent, has the removal of grit and sand which scratch and wear down the surface been done, has the floor been disinfected against allergens, in particular dust, has the floor wax or protective sealant been used etc. This evaluation must be carried out with utmost care since any wrong report may prove to be quite disastrous for the owner as well as the cleaning company.
Since commercial cleaning incorporates a wide variety of cleaning methods, chemicals, and equipment to facilitate and expedite the cleaning process, the scope of work may include all internal, general and routine cleaning - including floors, tiles, partition walls, internal walls, suspended ceilings, lighting, furniture and cleaning, deep cleans of sanitary conveniences and washing facilities, consumables and facilities as well as cleaning of telephones, other office automation machineries like photo copiers, computers, keyboards and so on. So in order to systematically asses and approve a cleaning site or a location, the concerned assessing personnel must be aware of the facts.
Here again the TQMS assists the supervisor to carefully inspect and take the real facts and figures to count and then allot the points accordingly. The supervisor first takes a physical look at the site and then one by one inspects the areas on priority basis. Here the need for entering the area names and different portions of the division are not necessary since the areas, different portions, gadgets, hygiene facilities, staircases, railings and so on are already entered previously. Once the user opens the relevant section for assessment, the listing along with the sub-list of the contained areas appear and the user has to just physically asses and allot the points for the specified score by way of ticking and proceed to the next section. During the assessment process, photographs of the area before cleaning and after cleaning can be used as a supportive justification of the appraisal. Geo tagging and saving the report in a convenient format like pdf, xls and so on can be done accordingly. Once this section of the assessment is over the user has to just click on the generate and send button where the generated report in a suitable form gets forwarded to the concerned. The reports are usually forwarded to the contractor for the approval and the same way the one set of report is forwarded to the owner of the building for his reference.
